UBC Mileage, Per Diem and Exchange Rates

Mileage rate

Travel by private vehicle may be necessary to save time and/or costs. Reimbursement for costs are made to the driver only and are calculated by applying the mileage (kilometer) rate to the actual driving distance while on university business, by the most direct route (the amount claimed not to exceed full economy airfare).

The Mileage Rate is $0.49 per kilometer effective April 1, 2013 (UBC Policy# 83, Section 3.4).

Per Diem Rates

The preferred method for accounting for meals is to provide the actual receipt together with the credit card voucher. If this is not feasible, the University does provide per diems. The current per diem rates (as of the date of this document) for travellers who do not wish to remit receipts and who have actual meal expenses are:

Travel within Canada

Breakfast = $14.00

Lunch = $16.00

Dinner = $30.00

Total = $60.00 / day

Travel within United States and other countries

Total = $60.00 / day (US)

The traveller has the option of submitting receipts and claiming the actual cost of meals, converted to Canadian dollars as above. Where a research funding agency has a limit which is lower than UBC, the traveller may claim the higher amount but will only charge the research PG account with the lower rate
